Main Window Overview

Once you log into ProviderLink, you will see the patient list on the Main Window screen. You can think of this as the main “control panel” used to navigate throughout ProviderLink. The list of patients displayed on the Main Window can be considered your case load, or the patients in your “virtual in-basket” that you are currently working with.

 

The Main Window screen consists of four sections, which are explained below:

  1. Menu Bar - is at the top of the screen. It is used to access the main features of the ProviderLink system.

  2. Patient Summary Information - is in the left area underneath the menu bar. It shows the total number of 1) patients, 2) unread messages, 3) reviews due, and 4) tasks associated with the work list currently displayed on the screen.

  3. Screen View Information - is in the right area underneath the menu bar. It displays the facility name, the current work list, and current user.

  4. Current View - is a drop-down list of screens you can select to view overdue items such as unread messages, tasks, reviews, etc.

  5. Patient List - is the list of patients currently assigned to your work list, usually sorted by the patient's last name. You may re-sort the list by clicking on one of the column headers (i.e., ID, Reference, etc.) along the green column header row. Each row represents information about one of the patients in your work list, or a patient record.

 

The largest portion of the Main Window is the Patient List. The Patient List is divided into rows and columns:

Each of the fields in the Patient List is a link that you can use to navigate into different sections of the patient record. The table below lists the columns in the Patient List, what each column represents, and where the link leads when clicked:

 

Menu Bar options:
 

New

Displays the following options:

- Patient: click to create a patient record.

- Facility: click to create a fax-only facility.

 

Lookup

Displays the following search options

- Patient: click to search for a patient record.

- Facility: click to search for a fax-facility.

- Contacts: click to search for a fax-facility contact.

- Documents: click to search for a patient document.

- Messages: click to search for a patient message.

- Audit Trail: click to search for audit entries associated with a patient record.

- Tasks: click to search for tasks associated with one or more patient records

 

Setup

Opens the screen which manages facility functions (e.g., facility, users, work lists, folders, templates, overdue items, mailboxes, and customizations). Note: Option only displays on the menu bar if the user has a Facility Administrator role.

 

Reports

Displays the following options to generate the following system-defined facility reports:

- Date Range Reports: generates a report that provides facility statistics tracked by ProviderLink regarding documents, patient status changes, patient records created, authorizations, and messages.

- Dashboards: generates a report that provides facility statistics tracked by ProviderLink regarding the number of patients, unread messages, dates received, and alerts per work list.

 

Print

Prints the screen contents.

 

Refresh

Refreshes the screen contents.

 

Help

Displays the following options:

- Patient List Help: displays Main Window help screen.

- My Procedures: opens the My Procedure screen, which is used to create and edit your facility's procedures for using the application.

- How To: opens the "Using ProviderLink Help" topic.

- My Profile: opens the Covisint Healthcare portal in the same window to allow access to the My Profile feature.

Note: My Profile option is only visible to users who login to ProviderLink via the CCA (Covisint Connect and Administration) login screen.

- My Administrator: opens the Facility Administrators screen, which displays your domain and facility administrator's contact information.

- My NCID: opens the NCID screen, which allow you to enter your NCID credentials to be used in NC PASSAR submission to the NC Must application.

- Splash Screen: opens the screen, which displays application/system announcements.

- Test Connection: runs a bandwidth test on your PC.

- Download Print Application: opens the Install ProviderLink Virtual Print Solution (VPS) Help topic, which includes a link to download the ProviderLink Virtual Print Solution software.

- About: displays ProviderLink application copyright information.

 

Logout

Logs user out of the application.

 

Next

Up to two Next options display on the menu bar if additional work lists have been linked to this one by the facility administrator. If no additional work lists have been linked, the Next option is not displayed on the menu bar. The Next option gives the user the ability to access patients from multiple work lists.

 

Section Represents

Current View

Following are the options for viewing tasks and items pending and overdue:

Patient List - displays the patient list for the current work list (default option).
Unread Messages List - displays a list of unread patient messages.  
Task List - displays a list of patient tasks.
Reviews Due List - displays a list of patient reviews due.
Overdue Unread Messages - displays a list of the overdue unread messages.**
Message Needing a Reply - displays a list of received messages waiting on a reply that were sent to that mailbox.**
Message Waiting on a Reply - displays a list of sent messages waiting on a reply that were sent from that mailbox. **
Overdue Review Task - displays a list of the overdue review tasks.**
Overdue Reminder Task - displays a list of the overdue reminder tasks.**

** Option only displays in the drop-down list if it has been activated by your Facility Administrator.

The Unique ID that helps your facility identify the patient. Most commonly used to display the medical record number.

A reminder that some action needs to be taken regarding the patient record.

Shows whether the patient has been admitted, discharged, etc.

Lists the unread messages received for the patient.

Notes:

  1. Blue or Red text indicates a link. Clicking on a link will take you to another page or section within ProviderLink. For example, clicking on one of the date links in the Documents column will take you to that patient's documents.

  2. The data in each column is sortable. Click the column header to re-sort the data.

  3. To quickly send a message regarding a specific patient, click the "envelope" icon in the first column beside the patient's name. This opens the Create Message screen.
